By making a booking with Willow Springs Campsite, you agree to these Terms and Conditions.
1. BOOKINGS & PAYMENT
1.1 Booking Confirmation
If a booking is made more than 30 days in advance, a 30% deposit is required to secure the booking
The remaining balance will be taken automatically 30 days before the booking
Your booking is confirmed when payment is received, and you receive a confirmation email
Prices are as displayed on our website at the time of booking
1.2 Minimum Stay
There is no minimum stay requirement for camping or campervans
There is a 2 night minimum stay requirement for the shepherds huts
Bookings are charged per night and by the number of people
1.3 Group Bookings
For groups of 6+, please contact us directly: hello@willowspringscampsite.co.uk
Group bookings may be subject to different terms
1.4 Lead Booker Responsibility
The lead booker is responsible for the behaviour of all guests in their party
The lead booker must ensure all guests are aware of and comply with these Terms and site rules
2. CHECK-IN & CHECK-OUT
2.1 Arrival
Check-in: 3:00pm - 10:00pm
We cannot accept arrivals after 10:00pm

2.2 Departure
Check-out: by 12:00 noon
Late departures may result in charges for an additional night
2.3 Early Arrival / Late Departure
Subject to availability only

3. CANCELLATIONS & REFUNDS
3.1 Cancellation Policy
1 month (30 days) or more notice: Reschedule or cancel for full refund
2 weeks (14 days) or more notice: Rescheduling only (no refunds)
Less than 2 weeks (14 days) notice: No rescheduling or refunds
No-shows: No refund
3.2 How to Cancel or Amend

3.3 Cancellation by Us
In the event of emergency closure or circumstances beyond our control, we will provide a full refund or offer alternative dates
We are not liable for any travel or associated costs
3.4 Weather
We do not provide refunds for adverse weather conditions
Camping is an outdoor experience - please come prepared
4. SITE RULES
4.1 Quiet Hours
Quiet hours: 11:00pm - 7:00am
Keep noise to a minimum during these hours
No radios or speakers allowed at any time
Acoustic instruments may be played at respectable volumes outside quiet hours
4.2 Fires & BBQs
No fires, BBQs, or fire pits on the grass
Fires and BBQs allowed on hardstand areas only (in provided fire pits)
Firewood available for purchase on-site
Only use safe, uncontaminated wood
Fires must be completely extinguished before leaving pitch or going to sleep
4.3 Vehicles
Maximum vehicle length: 25ft (motorhomes, campervans)
1 parking space per pitch
Do not drive or park on the grass - grass gets wet and is easily damaged
Park on designated hardstand areas only
Access road is gravel and there maybe potholes – drive carefully
Speed limit on site: 5mph
4.4 Dogs
Dogs welcome and must be kept on leads at all times on site
Please clean up after your dog
Dogs must not be left unattended in shepherd's hut Elmer or Nutmeg due to the increased risk of fire from their presence.
Maximum 2 well-behaved dogs in Clover and Daisy shepherd's huts
Owners are responsible for any damage caused by their dogs
4.5 Smoking & Vaping
Allowed outdoors on your pitch only
Smoking indoors is illegal and may result in an additional cleaning fee as well as immediate ejection from the site
All communal areas (bathrooms, drying room, lounge, washing area) are smoke and vape-free
4.6 Waste & Recycling
Recycle or take it home
We collect: Recycling, food waste, and plastic films only
No landfill disposal on site
Please separate your waste appropriately
A household recycling facility is located in Cymmer for unwanted items such as airbeds
Leave your pitch clean and tidy
4.7 Facilities
Bathrooms, drying room, washing area, and lounge are shared facilities
Please leave facilities clean for the next user
Report any issues to reception immediately
4.8 Behaviour
We reserve the right to ask guests to leave immediately for:
Anti-social behaviour
Damage to property
Breach of site rules
Intoxication or drug use causing disturbance
No refund will be given in these circumstances
5. WHAT'S INCLUDED
Tent & Campervan Pitches:
Private grass pitch with hardstand parking
1 fire pit
Access to 3 family-sized bathrooms with hot showers
Drying room
Washing area
Communal lounge
Dog and bike wash
WC disposal point
Fresh spring water (UV and sediment filtered)
Shepherd's Huts:
As per individual hut description
Bedding and towels are not included - please bring your own
Access to all campsite facilities
Not Included:
Bedding (shepherd's huts)
Firewood (available to purchase)
Electric hook-ups (we have no electric pitches)
6. IMPORTANT SITE INFORMATION
6.1 Midges
Afan Forest has a midge season between June and September
Midges are most active at dawn and dusk, but during humid weather with low UV can be active all day
Bring good insect repellent
After-bite cream recommended
Incense sticks and fires can help (midges don't like smoke)
6.2 Access Road
The access road is gravel and there may be potholes
Drive slowly and carefully to avoid vehicle damage
6.3 Grass Conditions
Grass can get very wet, especially after rain
Under no circumstances may vehicles drive on the grass pitches
If you become stuck, call reception for assistance from the farm tractor
7. SAUNA & ADDITIONAL SERVICES
7.1 Sauna Bookings
Sauna sessions are booked separately and subject to separate Terms & Conditions
All sauna users must complete a safety waiver before use
Separate charges apply
8. SAFETY REQUIREMENTS
8.1 Children
Children must be supervised at all times
Parents/guardians are responsible for children's safety and behaviour
Site includes uneven terrain, water features, and fire pits
8.2 Site Hazards
This is a rural, natural site with:
Uneven ground
Water features (waterfall, stream)
Wildlife (including midges in summer)
Fire pits
Rough access road
Steep valleys
Poisonous and stinging plants
Guests use all facilities at their own risk
8.3 Accessibility
The site has natural, uneven terrain throughout
Please review our Accessibility Information before booking
Contact us before booking if you have specific access needs
8.4 Emergency Contact
Mobile signal can be patchy - let someone know where you are

9. LIABILITY
9.1 Personal Property
We are not responsible for loss, theft, or damage to guests' personal property
Please do not leave valuables unattended
Secure your belongings
9.2 Personal Injury
Guests use all facilities at their own risk
We are not liable for injury except where caused by our negligence
Please take care around fire pits, uneven ground, and water features
9.3 Vehicle Damage
The access road is rough - please drive carefully
We are not liable for vehicle damage
9.4 Our Liability
Nothing in these Terms excludes our liability for death or personal injury caused by our negligence
In the event of a claim, the full process will by managed by our public liability insurers
10. GIFT VOUCHERS
10.1 Validity
Gift vouchers valid for 12 months from purchase date
No extensions available
10.2 Usage
Gift vouchers must be redeemed when booking (not on arrival)
Vouchers are non-refundable and cannot be exchanged for cash
No change given if booking value is less than voucher value
Multiple vouchers can be used for a single booking
11. PRIVACY & DATA
11.1 Information We Collect
Name, contact details, vehicle registration, number of guests
We use this information to manage your booking and communicate with you
11.2 Marketing
We may contact you about future offers (opt-out available)
We will never share your information with third parties for marketing
12. CCTV
CCTV is in operation around the site for security purposes. This will only be used in the event of an incident
13. CHANGES TO FACILITIES
We reserve the right to temporarily close facilities without warning or reason. We will notify you as soon as possible if this affects your booking.
14. GOVERNING LAW
These Terms are governed by the laws of England and Wales. Any disputes will be subject to the exclusive jurisdiction of the courts of England and Wales.
